RENTAL AGREEMENT
THIS RENTAL AGREEMENT MUST BE COMPLETED, SIGNED AND RETURNED WITH YOUR DEPOSIT WITHIN 7 WORKING DAYS IN ORDER TO HOLD YOUR REQUESTED DATE. DO NOT SIGN THIS AGREEMENT WITHOUT READING ALL CLAUSES. THE SIGNER IS RESPONSIBLE FOR FOLLOWING ALL TERMS STATED IN THIS AGREEMENT. FULL RENT IS DUE NO LATER THAN 45 DAYS PRIOR TO EVENT.

PLEASE READ, COMPLETE
AND SIGN THE FOLLOWING PROCEDURES BEFORE RETURNING THIS AGREEMENT WITH
ALL NECESSARY ATTACHMENTS
(Please Note: Only those portions of The Barn and equipment listed on the Rental
Agreement and approved by the Barn Manager will be available for use.)
1. Renter must pay all rental and reservation/damage deposit fees and acquire any licenses/insurance appropriate to the function which are required by the State or Winthrop Auditorium Association.
2. Renters of the barn may enter the premises no earlier than 7:00 am on the date of their rental. If renter needs to have the day prior to their event for setting up/organizing purposes, there will be a charge of $50 for half day, or $100 for full day.
3. Clean-up for short-term or day-functions must be done within three (3) hours after the end of the event, or whenever time is agreed upon with management at the time of rental.
4. Late night, all day, and evening functions have until noon the following day to clean or have cleaned all areas of use.
5. Parties sharing responsibility for an event must be given a copy of the Rental Agreement and Rental Checklist. The ultimate responsibility for the Barn belongs to the person signing this Rental Agreement.
6. All tables, chairs and equipment must be returned to their original location and in good condition .
7. When using the kitchen, please read and follow posted instructions for kitchen equipment. Kitchen items are to be returned to their original locations.
8. Non-barn food and equipment are to be removed from the premises. The Barn will not be responsible for any items left in or near the building and a charge will be billed to the renter for disposal of said items.
9. No pictures or plaques are to be removed from the walls without prior approval. Permission to use decorations, posters, or similar items must be obtained from the barn manager.
10. Gates are provided to keep children off the stairs, balcony, and stage. It is the responsibility of the parents, guardians or chaperones and the renter to see that safety precautions are followed.
11. FIRE LANES MUST BE KEPT CLEAR AT ALL TIMES. Renters are responsible for crowd control, which is not to exceed the capacity of The Barn. Exit lights must be turned on at all times during events.
12. Any accident involving injury to participants or damages to The Barn or equipment occurring during the use of The Barn or equipment shall be reported to The Barn Manager immediately.
13. Renters are required to furnish proof of public liability insurance for certain activities (Banquet Users & Alcoholic Beverage Vendors).
14. All exterior doors to the barn must be locked when renter vacates the premises. FAILURE TO DO SO WILL RESULT IN FORFETURE OF THE ENTIRE RESERVATION/DAMAGE DEPOSIT.

responsible for carrying out the provisions contained herein. Delegation
of any or all of these responsibilities to other parties will not relieve
me of any liability incurred herein. The Renter agrees to reimburse
The Barn for any damages arising from the applicants’ use of
The Barn & equipment.

Deposit Policy
A Reservation/Damage Deposit is required when booking an event or reserving The Barn. The estimated amount for rental of building/room rent and kitchen rent is due no later than 45 days prior to the event. A Holding/Damage deposit of $200.00 is due upon return of the Rental Agreement without use of the kitchen, or $400.00 with use of any or all kitchen equipment is required to hold the date and must accompany the Rental Agreement. When renting a meeting room only, a Holding/Damage deposit of $100.00 is due upon return of the Rental Agreement. If it is necessary for the Barn to re-clean the rented areas after rental use, an $18.00 per hour cleaning fee will be charged and deducted from the Reservation/Damage Deposit refund, as will be any repairs or replacement of damaged equipment, before a refund of the deposit is made. After any function at The Barn, arrangements can be made in advance for someone other than the renter to do the clean-up if so desired. If the event is scheduled within 30 days prior to the event, both the Reservation/Damage deposit and the estimated rental amount are due at time of rental. Adjustments will be made at the end of the day of the event and any credits will be refunded to the renter within 10 days. A 45-day written notice is required in order to receive a refund of the Reservation/Damage Deposit.
Cancellation Policy
If a person/organization
has paid the Reservation/Damage Deposit and cancels the rental of the
Barn less than 45 days of the scheduled event, The Barn will keep 50%
of the Holding Deposit. If the event cancellation occurs more than
45 days prior to the event, The Barn shall refund the entire amount
of the Deposit.
